REGISTRATION & PRICING
Winter Fire is a weekend long, hotel based convention. Your registration fees include all our classes, workshops, special events, parties and access to the playspaces. Registration does NOT include accommodations or food. The convention will open Friday afternoon and run through Monday morning. You do NOT have to book a room at one of our hotels to attend the event. Many people commute each day and there are local parking lots and mass transit stops right by the hotel.

Hotel Rooms
We will have the entire hotel again this year. In order to meet our room night obligations to the hotel we can only accepting reservations for all 3 nights (Friday, Saturday and Sunday). Our overflow hotels, located within a block of the host hotel will allow partial weekend reservations. Remember, the playspaces will be open very late on Sunday night/Monday morning so stay and make it a long weekend. In order to ensure everyone’s privacy all hotel accommodations must be placed through the private hotel link you will be given at the end of the registration process. For detailed information please visit our Hotel page. After you complete your event registration you will receive a link to book your accommodations directly with the hotel. The hotel will be charging a 1st Night Non-Refundable Deposit at the time you make your reservation. While this is a new process for Winter Fire, it is standard practice for large conventions. The Host Hotel has a 3 night minimum for room reservations, this is the only way we can create a “hotel takeover”. For those whom absolutely cannot take 3 nights at the host hotel, we have established two room blocks at nearby overflow hotels with no room night minimum. Once the host hotel sells out, registered attendees who take a room at an overflow hotel will be automatically placed on the waiting list for any rooms that open up at the host hotel.
Day Passes
Day Passes are confusing, problematic and basically a giant pain in the ass for everyone. However, we have been inundated with requests by many of you who can only make it for a portion of the event and we really want everyone to have an opportunity to experience at least a little of Dark Odyssey. So, we just can’t say no. Day passes are now available but you need to buy your tickets online as we do not allow in person registration. If you are planning on coming to 2 or more portions of the event, we strongly suggest you simply buy a full weekend pass as its probably cheaper and certainly easier for everyone. Host Hotel
We have booked the entire hotel on Friday, Saturday, and Sunday night. To book a room in the host hotel, you must book for all three nights. The hotel will charge you a NON-REFUNDABLE fee of one nights room rate plus taxes. The balance due will be charged when you check out of the hotel. Waiting List – When the host hotel sells out, people who register and sign up for a room in the overflow hotel are automatically placed on the waiting list in the order in which they register.

Overflow Hotels
There are two overflow hotels for Winter Fire. Overflow Hotel 1 – is home to our overflow playspace for the weekend and has an old world feel with a great Irish Pub on the ground floor. Overflow Hotel 2 has a playful ultra tech motif. Both are just a block away from host hotel and you’ll have a great experience at either of them. Waiting List: By taking a room in one of the overflow hotels you will automatically be placed on the waiting list for the host hotel. Should a room in the host hotel become available, our hotel coordinator will be in touch to see if you would like to make the switch.

NO minimum stay
Notes:
- All registration rates are per person.
- Last day to transfer or cancel a registration and receive a refund is January 5, 2024.
- Cancellations are subject to a $50 handling fee per registrant.
- Gift registrations become the property of the named registrant. Only the named registrant may cancel or transfer their registration.
- There is transfer fee of either $50 or the difference between the current rate and original registration rate, whichever is greater.
- Hotel room rates are per room per night and will be billed directly by the hotel.
- Hotel reservations require a deposit of 1 night’s room and tax which will be charged directly by the hotel at the time you place your reservation. This deposit is NON-REFUNDABLE AND NON-TRANSFERABLE.
- WAITING LIST FOR HOST HOTEL – people who register and sign up for a room in the overflow hotel are automatically placed on the waiting list in the order in which they register. If moved to the host hotel, your room deposit will be refunded or transferred to the host hotel.
- If the event is cancelled due to a Covid shutdown, hotel room deposits and event registration fees will be refunded.
- We reserve the right to refuse service to anyone and cancel their registration. If we do cancel your registration you will receive a full refund.
